Getting Started

ProofIQ is an attribution platform built specifically for financial services firms by GK3 Capital. It connects your paid media channels with your HubSpot CRM to show which marketing activities are generating real contacts and, where your pipeline is tracked, real closed deals.

The platform is designed around the realities of financial services marketing: long sales cycles, high deal values, and decision-makers who rarely act on first contact. It is fully managed by your GK3 account team.

Most clients are fully onboarded within 5 to 10 business days. This involves connecting your ad accounts, verifying your HubSpot portal, and running an initial data sync. Your GK3 account lead manages the entire process. No technical work is required from your team.

No. ProofIQ connects directly to your advertising platforms and HubSpot via secure API connections. Your website does not need to be modified.

Fully managed. Your GK3 account team handles data connections, daily syncs, and attribution configuration. You log in to view your dashboard, review performance, and share access with your team.

Attribution

Every contact that lands in your HubSpot CRM carries real source data: where they clicked in from, what UTM parameters were on the link, whether they came through a lead form. ProofIQ reads that real data once, at the moment the contact is created, and assigns it to exactly one channel using a fixed priority order (your own hand-curated HubSpot fields first, then UTM parameters, then HubSpot's own tracking fields). That assignment never changes afterward.

This is different from how some attribution tools work: there is no multi-touch model to switch between, and no simulated "customer journey." A contact is attributed to the one real channel the data points to, or marked unattributed if nothing in HubSpot indicates a channel.

A lead is a HubSpot contact created in the selected date window that ProofIQ was able to attribute to a paid channel. The "HubSpot Conversions" figure on your dashboard reflects that count.

It depends on how deeply your HubSpot pipeline is tracked, and the dashboard tells you which case applies:

  • Real deal data: if your HubSpot deals are kept up to date, Revenue is the actual sum of closed-won deal amounts, grouped by the channel that originated each deal's contact.
  • Estimated: if deal tracking isn't set up, Revenue is estimated as the number of contacts that reached the "Customer" stage times your average deal value.
  • Media performance instead: if your HubSpot pipeline has never had a deal closed or a contact reach Customer stage, showing a Revenue number would just show $0 and imply your media isn't working when the real issue is that pipeline isn't being tracked. In that case ProofIQ automatically switches the dashboard to Cost Per Lead and Leads per $1K Spend instead, with a banner explaining why.

HubSpot deals don't reliably carry a direct link back to the contact and channel that originated them, and HubSpot itself often leaves a deal's own source field blank or generic. When ProofIQ can't confidently attribute a closed-won deal to a channel, it's counted in your total Revenue but excluded from the per-channel breakdown rather than assigned to a misleading "unknown" bucket. A note above the channel table tells you when this applies and how much revenue it affects.

Data & Channels

Google Ads, LinkedIn Ads, Meta (Facebook/Instagram), Spotify, Vibe, Simplifi, Bing/Microsoft (including ChatGPT-sourced traffic, grouped under this channel), and Cold Email (via our sister platform InboxIQ) are all live paid-channel integrations. Organic search, direct traffic, IP-based company matching, and database imports are also recognized as distinct channels where the underlying HubSpot data indicates them. Not every client runs every channel. Your dashboard only shows what you're actually running.

For clients with Google Analytics 4 connected, the Attribution tab includes a Site Intelligence panel showing sessions, users, engagement rate, and bounce rate by channel (a useful cross-check on whether the traffic a channel drives is actually engaging with your site, independent of whether it converts in HubSpot).

The default view covers the last 90 days. Use the date pickers above the KPI row to select any custom start and end date, up to a year back. HubSpot contact and deal history can go back further for clients who've been onboarded a while; ad platform spend is synced up to 365 days back. If you pick a start date earlier than what's actually been synced for a channel, a note above the channel table tells you so: leads and revenue in that older window are real, but spend (and anything calculated from it) will show as zero for dates outside sync coverage.

HubSpot & CRM

The orange-bordered panel near the top of your Attribution tab. It shows data pulled directly from your HubSpot CRM: confirmed conversions and, if your pipeline is tracked, closed-won deal count, median/average/highest deal value, and total pipeline, all computed from real deal data, and both the on-screen panel and the PDF export show the same figures.

An admin page (sidebar, under Admin) for setting a client's expected average deal value by hand. It only matters for clients without enough real closed-won deal history to compute revenue directly: for those, ProofIQ estimates revenue as paid leads × this value, so a client sitting at $0 there will show $0 estimated revenue no matter how many leads convert, until a real number is set. Has no effect on clients whose revenue is already computed from real closed deals.

Yes. The Pipeline page shows how contacts progress through your HubSpot lifecycle stages (Subscriber through Customer), broken out by the channel that originated them, along with closed-won deal data where it's tracked.

Other Dashboards

The client selector now lives in the left sidebar, above Agency, instead of the top right of the page: pick a client there once and it carries across every page. A light/dark theme toggle (the sun/moon icon next to the ProofIQ logo, top of the sidebar) is new too; your choice is remembered on that browser for next time you sign in.

Performance is a standalone view of channel-level spend, clicks, and impressions across your full nav. Pipeline is the deeper HubSpot-focused view: spend/leads/cost-per-lead by channel, the lifecycle funnel, revenue attribution, cold email campaign performance (if you use InboxIQ), and a searchable contact list. Both are reachable from the left sidebar and carry your client selection with you from the main dashboard.

The sidebar page (under Data I/O) that houses two client-scoped tools as tabs: CRD Verification and Visitor Fit Scoring. Both enrich a single client's own contacts/visitors and are reached through the same client picker at the top of the page: pick a client once, then switch tabs freely.

The first tab on the Data Enrichment page. Upload a FINTRX, AdvisorPro, Discovery Data, or Dakota Data export and match it against your ProofIQ contacts to attach real CRD numbers where the data lines up (by email first, then by name and firm). Matched contacts get a verification badge with a confidence score on the Pipeline page's contact list: 1.0 means an exact email match, anything lower means it was matched on name and firm only and is worth a spot-check. Upload a CSV or XLSX file (up to 500MB); a match job usually completes in a few seconds.

The second tab on the Data Enrichment page. Scores a client's de-anonymized website visitors against their own Ideal Customer Profile (a "5P" document, set once per client) so you can see which visitors are actually worth a follow-up, ranked by fit, not just a raw list. Every visitor is scored individually, so results include verified email(s), company phone, a fit score, a hot/warm/cold tier, and a short rationale for each one. Download the results as a Word dossier (one page per prospect; best for smaller, curated lists), an Excel workbook (best for larger ones), or a raw CSV; "Auto" picks the format for you based on how many prospects matched.

Every personal-consumer field (home address, personal phone/email, identity hashes) is stripped before anything is scored. None of it is ever sent out or retained.

Every visitor gets individually scored by Claude against the client's 5P document: a real judgment call per row, not a fast database lookup the way CRD Verification and Audience Builder work. That makes it meaningfully slower, and the time scales with file size: a file of a few thousand rows can take over an hour today. It's safe to close the tab and check back later; results are saved for when you return.

Off by default for privacy: most clients' ideal customer is defined by job title and company, not personal finances, so that data is dropped automatically before scoring. It's only enabled for specific clients whose actual targeting is wealth or demographic-based (a toggle on that client's 5P setup, in the Visitor Fit Scoring tab): for those, results also show net worth, income range, age range, homeowner status, and location instead of job title and company.

Generates a full Google Ads + Microsoft Advertising campaign build from a client's Ideal Customer Profile (the same 5P document Visitor Fit Scoring uses) and their website URL. Pick a client, enter the website, hit Generate: it plans out campaigns, ad groups, keywords, responsive search ads, negatives, sitelinks, and compliance notes, then packages the result as downloadable workbooks: Google Ads, Microsoft Ads, and LinkedIn.

A real build is a genuine per-campaign judgment call, not a template fill, so expect roughly 3-4 minutes from Generate to done. Safe to leave the tab and come back; the job keeps running either way.

Keyword volume/CPC estimates come from Keywords Everywhere where available; if that account has no credit, those specific columns come back blank but the rest of the workbook is unaffected. The LinkedIn workbook's Campaign Groups and Campaigns tabs import in bulk, but LinkedIn's own bulk import can't create ads, so its Ad Copy tab is a reference to paste in by hand when building each ad in Campaign Manager.

The ICP input lives entirely on this page now: pick a client and it checks for an existing 5P document, showing the filename and upload date if one's on file. Keep it (the default), or choose "Use a different ICP for this build" to either upload a new 5P (saved for this client, reused by Visitor Fit Scoring too) or paste ICP text scoped to just this one build (never saved anywhere). No need to visit Data Enrichment first unless you want to.

Once a client has approved the review workbook, two more downloads generate the actual files their ad platform's own tool accepts directly: a Google Ads Editor CSV and a Microsoft Bulk Upload CSV. These aren't review documents: they're the real import files, so double-check the campaign structure in the review workbook first. Microsoft's file needs a campaign budget it doesn't otherwise generate, so a placeholder daily budget is set automatically; review and adjust it in Bulk Upload before actually launching anything.

A separate tool from Data Enrichment, not tied to a specific client. Nothing here writes into ProofIQ's own data. Two modes, chosen at the top of the page:

Match two lists (the original mode): upload two arbitrary lists (e.g. a 3rd-party list and an IntentIQ export) and it finds the overlap between them: exact email matches first, then company domain, then name+firm similarity for anything left over. Download the matched result formatted for LinkedIn, Meta, Google Ads/YouTube, Spotify, or Vibe ad upload, or as a plain CSV.

CRD enrichment: match your own list against a CRD vendor file (FINTRX, AdvisorPro, Discovery Data, or Dakota Data), either uploaded fresh or picked from a saved list, and get every row from your list back with a CRD number filled in wherever one matched and left blank where it didn't. A freshly-uploaded reference file is deleted as soon as matching completes; a saved list stays available for the next match.

Saved reference lists let you load a vendor file once and reuse it across multiple runs instead of re-uploading it every time. Manage them (add, refresh, delete) from the "Manage saved lists" link in CRD enrichment mode.

Results are kept 48 hours for downloading, then automatically deleted.

Reports & Delivery

Yes. The Export PDF button in the top right of your Attribution tab generates a branded report for whatever date range you currently have selected: KPI summary, HubSpot data, and channel breakdown. The file downloads immediately.

Use the two date pickers below the page header to set a start and end date, then click Apply. Every KPI, chart, and table on the page reloads for that window.

Data refreshes automatically once a day. The dashboard reflects data that is at most 24 hours old.

Account & Access

Your GK3 account lead will add you and send an invite from noreply@gk3capital.com. The link is valid for 5 days. If it expires, contact your account lead to resend it.

Click Forgot password? on the login page. A reset link will be emailed to you, valid for one hour. If the email does not arrive, check spam or contact your GK3 account lead.

Contact your GK3 account lead with the name, email, and access level (Admin or Viewer) for each person. They will receive an invite automatically. All accounts are invite-only.

Security

bcrypt password hashing, httpOnly JWT session cookies, role-based access control, login rate limiting (5 attempts per 15 minutes per IP), invite-only account creation, and optional two-factor authentication (TOTP) for all users.

Click Security in the left sidebar, then Enable 2FA. Scan the QR code with any TOTP app (Google Authenticator, Authy), confirm with a 6-digit code. Every login will then require your password plus an authenticator code.

Contact your GK3 account lead immediately. They can disable 2FA on your account so you can log in and re-enroll on your new device.
